Executive & Board Assistant

Job Summary:

National Trust Community Investment Corporation (NTCIC) enables tax credit equity investments that support sustainable communities nationwide. NTCIC raises and invests capital in connection with federal and state historic tax credit (HTC), new markets tax credit (NMTC), and solar tax credit (ITC) programs. NTCIC is a wholly-owned for-profit subsidiary of the National Trust for Historic Preservation.

NTCIC seeks an Executive & Board Assistant to provide executive and administrative support directly to the President and Board of Directors. This role serves as the primary point of contact for internal and external constituencies on all matters pertaining to the executive functions of the organization. The position requires superior communication, organization, and coordination skills, particularly with other members of the senior management team, the Board of Directors, policymakers, investors, and other financing parties. The position requires exceptional communication skills, strong analytical and problem-solving skills, sound judgment and reasoning, and the ability to provide precise and timely follow-up while frequently switching gears to reprioritize demands. A predisposition toward exceptional customer care and stakeholder management is essential.

Duties:

Executive Office Support – 60%

  • Act as the primary interface between the President and all internal/external stakeholders. Assess, comprehend, and manage myriad demands for the time/attention of the President and ensure her successful execution
  • Manage President’s schedule, using keen judgment to maximize effective use of President’s time, energy, and effectiveness
  • Nimbly handle numerous, last-minute scheduling adjustments and coordination of frequent domestic travel
  • Triage all inbound inquiries (email, phone, other) on behalf of President
  • Compose and edit written correspondence for President, including emails, memos, and reports
  • Provide editing support for other externally-facing communication, especially marketing and public policy publications
  • Drive follow-up on execution and completion of key milestones, action items, and deliverables identified at management team meetings and Board of Directors meetings
  • Maintain President’s paper and electronic file system and identify new methods and techniques for efficient data management
  • Coordinate on- and off-site meetings, arrange conference calls/virtual meetings, prepare meeting materials, and ensure timely follow-ups
  • Provide administrative support including timely and accurate time sheets and expense and Salesforce contact management

Senior Management Team Support – 20%

  • Provide administrative services for and attend (on request) the Senior Management Team meetings and other key cross-functional meetings.
    Facilitate communications among the members of the Senior Management Team between meetings
  • Manage calendars, optimizing team’s ability to address common meetings and demands
  • Provide other administrative assistance as requested, including document preparation, travel arrangements, time sheet submission, and expense reports for senior managers who do not have administrative staff

Board Support – 20%

  • Direct the board meeting preparation process, collaborating and coordinating with appropriate staff members on-site selection, event and documents timelines, agendas, materials, programs, and logistics for all board and committee meetings
  • Prepare minutes of meetings and ensure timely completion of all follow-up items
  • Manage onsite aspects of board meetings (e.g., meeting rooms, AV, set up and accommodations)
  • Manage the annual Officer and Director nominations process
  • Manage the annual update of materials and logistics for the New Director Orientation
  • Manage the Board portal (e.g., update dashboard, meeting dates, upload meeting materials, obtain voting approvals, etc.)
  • Provide administrative support to board members that includes scheduling and travel arrangements
  • Maintain up-to-date profile of board members, including committee composition and Board composition dashboard
  • Maintain Board governance documents and regularly refresh policies and procedures
Qualifications:

Skills and Requirements:

  • A Bachelor’s degree from an accredited institution, with a preference for individuals with a degree or skills in community development, real estate, finance, or business
  • A minimum of 5 years overall relevant progressive business experience OR a minimum of 2 years of relevant experience with an advanced degree
  • Experience operating in rapidly changing business requirements and engaging at both the strategic and tactical level
  • Proven ability to effectively prioritize multiple competing tasks, execute and follow-up in a timely manner, anticipate challenges and roadblocks, and work independently
  • Excellent written, verbal, and interpersonal skills for executive-level communication and collaboration
  • Strong command over MS products (Outlook, Teams, Excel, PowerPoint), with an additional preference for Salesforce knowledge
  • Consulting or government affairs experience would be valuable
