Executive Assistant

Job Summary:

The National Trust for Community Investment Corporation seeks an Executive Assistant for the Executive Office of the President. The Executive Assistant is responsible for coordinating the day-to-day operations of the  President’s office in a smooth and efficient manner and representing the executive to internal and external contacts.

Duties:

EXECUTIVE OFFICE

  • Serve as the first point of contact for the President for staff, Board members, Trust colleagues, and clients. Act as a liaison for the President
  • Meet regularly with the President to advise the most efficient and effective time blocks for calendar appointments and review task lists
  • Draft and send correspondence on behalf of the President. Ensure a regular, timely flow of incoming and outgoing communications via phone and email. Answer the President’s direct phone line and follow up on general questions and requests
  • Maintain updated contact lists for President in CRM system
  • Establish and maintain a strong working relationship with National Trust for Historic Preservation (NTHP) Executives, subsidiaries, and their staff
  • Open, sort and determine an action for all incoming mail addressed to the President
  • Maintain electronic files used by President on Share drive
  • Arrange travel for President with consideration to cost, accommodation preferences, conveniences, and travel schedule. Assist with responsibilities of public policy efforts

 NTCIC BOARD

  • Serve as the liaison for all Board communication and meeting coordination
  • Interact with The National Trust for Historic Preservation (NTHP) to plan for Board meetings; coordinate meeting attendance and handle logistical issues for Board members in preparation for all board meetings. Collect, assemble and distribute meeting materials for Board members
  • Collaborate with Board committee leadership to schedule and prepare for committee meetings. Gather and distribute meeting materials
  • Coordinate the booking of board travel and accommodations for Board meetings and company events

NTCIC STAFF

  • For all departments, schedule regular status meetings that involve President
  • Support the Admin Asst with the scheduling of staff meetings and events and coordination of the agenda with the President’s input
  • Serve as the Exec office member on ad hoc staff committees
  • Support the Director of Public Policy with scheduling, communication, and special projects
  • Support the marketing function with projects such as preparing marketing materials and executive office presentations
  • Support Senior Management with all meetings/emails that involve the President
Qualifications:
  • A Bachelors degree and 5-10 years of Executive Assistant experience required
  • Must have high level of expertise in Microsoft Office software including Outlook, Word, Excel, & PowerPoint
  • Excellent organizational skills, efficient work management skills, written/verbal communication skills and professional telephone presence essential
  • Ability to balance staff demands of President with the constraints of ever-changing schedules is key
  • Ability to work well under pressure, excellent interpersonal skills, and a cheerful disposition are required
